Privacy
Privacy policy in plain words
What we collect when you visit domin8temedia.com, send us the form or use your dashboard, what we do with it, and how to ask us to change or delete it. Last updated October 20, 2026.
Who is responsible.
This site is run by Domin8te Media, a studio that runs websites, Google listings, social media and ads for independent restaurants and cafés. When this policy says “we” or “us”, it means Domin8te Media.
For anything about your information, email karanhelps@domin8temedia.com. That address reaches the person responsible for privacy at the studio.
What we collect, and when.
When you send the form or email us
The forms on our homepage and on our free checkup page ask for your name, your restaurant or café, an email address or phone number, and optionally your website, what needs fixing first and your biggest challenge. If you email us, we receive whatever you put in the message.
When you send a form, our server also shares some of it with Meta through Meta’s Conversions API, so we can measure and improve the results of our ads and avoid counting the same enquiry twice. Before anything leaves our server, the email address or phone number you gave, and your first name if you gave it, are hashed with SHA-256, which turns them into a scrambled code. This does not make them anonymous: Meta can match that code to an account it already knows. We send it together with technical details such as your IP address, your browser (user agent) and Meta cookie IDs. Meta handles this under its own privacy policy, and you can limit how Meta uses your activity for ads through the ad settings described below.
When you use the client dashboard
Clients sign in to a private dashboard. To run it we keep your account details (name, email, sign-in records), the messages you send us, your approvals and notes, and the business information you share with us so we can do the work: hours, menus, photos and similar.
When you simply visit
Our public pages use the Meta Pixel, a small piece of code from Meta, the company behind Facebook and Instagram. When you open one of these pages, it tells Meta which page you visited, so we can see whether our ads bring people to the site and show our ads to people likely to be interested. Meta may set cookies to do this and can connect the visit to a Facebook or Instagram account you are signed in to, under Meta’s own privacy policy. You can turn off ads based on your activity in your Facebook or Instagram ad settings, or block third-party cookies in your browser. The client dashboard does not use the pixel.
Like almost every website, our host records basic server logs (such as IP address, browser type and the page requested) to keep the site running and secure. If you switch the background on our homepage, your browser remembers that choice locally; it is not sent to us.
Why we use it, and nothing more.
- To reply to you and send the plan you asked for.
- To deliver the work for clients: running your website, listing, posts and ads, and keeping your dashboard up to date.
- To keep the site and the dashboard secure and working.
- To see whether our own ads bring people to this site and lead to enquiries, through the Meta Pixel and the Conversions API described above.
- To meet legal, tax and accounting duties.
We do not sell your information, and we do not rent or trade it to anyone.
Messages only with your consent.
We follow Canada’s anti-spam law (CASL) and, for US contacts, the CAN-SPAM Act. Sending us the form means you have asked us to reply to that enquiry, and we will. We will not add you to a newsletter or send you marketing messages unless you agree to it.
Any commercial email we send says who it is from, gives our contact details and includes a simple way to unsubscribe. If you ask us to stop, we stop.
Keeping it, changing it, deleting it.
We keep enquiries for as long as we need them to follow up and to keep a record of what was discussed, and client information for as long as we work together plus the time we are legally required to keep business records. After that we delete it or make it anonymous.
You can ask to see the information we hold about you, ask us to correct it, ask us to delete it, or withdraw your consent to messages at any time. Email karanhelps@domin8temedia.com and we will answer within 30 days. If you are not happy with our answer, you can contact the Office of the Privacy Commissioner of Canada.
We protect information with access controls and secure connections, and only use what the work needs. If this policy changes, we will update the date at the top of this page.
